Your First Backup Strategy: Before It's Too Late


"I'll set up backups once I'm more established."


I hear this often from new entrepreneurs in Salzburg. I understand - you're busy getting started, and backups seem like something you can handle later.


Then I get a panicked call: "My laptop crashed and I lost everything."


Customer contacts. Project files. Invoices. Years of work. Gone.


Let me help you avoid this situation. Setting up proper backups doesn't have to be complicated or expensive.


Why This Matters More Than You Think


What You Could Lose


Think about everything currently on your computer:

  • Customer contact information
  • Project files and work in progress
  • Financial records and invoices
  • Contracts and legal documents
  • Passwords and access credentials
  • Photos and marketing materials
  • Email history

  • How long would it take to restore all that? Could you even restore it?


    How Data Loss Happens


    The obvious ways:
  • Hardware failure (hard drives eventually fail)
  • Theft or loss of laptop/phone

    The 3-2-1 Rule Made Simple


    Professional backup strategies follow the "3-2-1 rule." Don't worry, it's simpler than it sounds:


    3 copies of your data:
  • The original on your computer
  • A local backup
  • An offsite backup

  • 2 different storage types:
  • Like an external hard drive AND cloud storage
  • Not two cloud services or two external drives

  • 1 copy offsite:
  • Somewhere that wouldn't be affected if something happened to your office

  • This protects you from most disaster scenarios.


    What a Basic Setup Looks Like


    For Most Self-Employed Professionals


    Primary storage:

    Your laptop or computer where you work daily


    Local backup:

    External hard drive that backs up automatically


    Cloud backup:

    Online service that runs in the background


    This gives you:

  • Fast recovery from local drive if needed
  • Protection from physical disasters via cloud
  • Automatic operation so you don't forget

  • What This Costs


    You can set up reliable backup for less than a nice dinner out:

  • External hard drive: One-time purchase
  • Cloud backup: Monthly subscription (usually modest)

  • Think of it as insurance for your business data.

  • Very fast recovery
  • No internet needed

  • Consider:
  • Can be stolen/damaged along with computer
  • Requires some manual management
  • Not accessible when traveling

  • Why Both?


    Your external drive protects you from everyday problems - accidentally deleted files, software corruption, etc.


    Your cloud backup protects you from disasters - fire, theft, hardware failure.

    Setting Up Your Backup System


    Step 1: Choose Your Cloud Solution


    What to look for:
  • Automatic operation
  • End-to-end encryption
  • Servers in EU (for GDPR)
  • Reasonable storage limits
  • Good reputation

  • For Austrian businesses, consider:
  • Where data is stored (EU preferred)
  • GDPR compliance
  • German language support
  • Clear pricing

    Step 2: Set Up Local Backups


    Both Windows and Mac have built-in backup tools that can automatically back up to an external drive. The key is setting them up properly so they run without your involvement.


    Many people start the setup but don't configure it correctly, or they don't test if it's actually working.


    Step 3: Decide What to Back Up


    Essential:
  • All documents and files
  • Email (if stored locally)
  • Photos and media
  • Database files
  • Configuration files

  • Optional:
  • Applications (you can reinstall these)
  • System files (usually not necessary)
  • Temporary files

  • Focus on what you couldn't easily replace.


    Step 4: Test Your Backups


    This is the step most people skip. Don't.


    At least once:
  • Actually restore a file from backup
  • Make sure you can access cloud backups
  • Verify the external drive is working

  • A backup you've never tested might not work when you need it.


    Common Backup Mistakes


    ❌ "I Back Up Manually When I Remember"


    You won't. Life gets busy. Automatic backups or nothing.


    ❌ "Everything Important Is in My Email"


    Until you can't access your email account. Or your email provider has an outage. Or something gets accidentally deleted.


    ❌ "I Store Everything in Dropbox, That's My Backup"


    Cloud storage is not the same as backup. If you delete a file in Dropbox, it's often deleted from the cloud too. You need real backup systems.


    ❌ "My Backups Are Running, So I'm Safe"


    Are you sure they're actually working? Test occasionally.


    ❌ "One Backup Is Enough"


    One backup means a single point of failure. If that backup is corrupted or inaccessible, you have a problem.


    Special Considerations


    Mobile Devices


    Your phone and tablet contain business data too:

  • Photos of projects
  • Client communication
  • Notes and ideas
  • Calendar and contacts

  • Make sure these are backed up too:

  • iPhone/iPad: iCloud backup
  • Android: Google backup
  • Important: Know how to restore from these backups

  • Cloud Services You Already Use


    If you primarily work in:

  • Google Drive
  • Microsoft OneDrive
  • Dropbox

  • Your files are already in the cloud. Good! But:

  • This isn't a complete backup system
  • Add a second layer (local or different cloud service)
  • Remember: If you delete something, it may be deleted everywhere

  • Email


    Depending on your setup:

  • Webmail (Gmail, etc.): Usually safe, but download important messages
  • Local email client: Needs backing up like any other files
  • Critical emails: Consider exporting as PDF for extra safety

  • Financial Records


    In Austria, you must keep certain business records for specific periods (typically 7 years).


    Make sure your backup strategy covers:

  • Invoices (sent and received)
  • Tax documents
  • Bank statements
  • Contracts

  • Consider separate, long-term archives of these.


    When Disaster Strikes


    If Your Computer Dies


    With proper backups:

    1. Get new computer

    2. Install necessary software

    3. Restore from backups

    4. Back to work (maybe one day interruption)


    Without backups:
  • Weeks or months to restore work
  • Potential loss of clients
  • Possible legal issues if you can't provide required documents
  • Enormous stress

  • If You Get Hit by Ransomware


    With proper backups:

    1. Don't pay ransom

    2. Wipe infected system

    3. Restore from clean backup

    4. Update security


    Without backups:
  • Pay ransom (which might not even work)
  • Or lose everything
