When you start your business, you get bombarded with software recommendations. Project management! CRM! Marketing automation! AI-powered everything!


It's overwhelming. And expensive if you subscribe to everything people suggest.


After working with many self-employed professionals in Salzburg, I've learned this: The best tool setup is the one you'll actually use. Not the fanciest, not the most expensive - the one that fits how you work.


Let me share what typically works well for businesses like yours.


The Basics: What Almost Everyone Needs


Email & Calendar


You're probably already using something here. The important thing is:

  • Use a professional email address (your own domain, not Gmail)
  • Have a calendar you can share with clients when needed
  • Keep everything in one place so you don't miss appointments

  • Many people use Google Workspace or Microsoft 365. Both work well. Choose based on what you're already familiar with.


    Document Storage


    You need somewhere to:

  • Store client files securely
  • Access your documents from anywhere
  • Share files with clients when needed
  • Have automatic backups

  • Cloud storage (like Google Drive, Dropbox, or OneDrive) solves this. The key is having one main system, not files scattered across multiple services.

    Accounting & Invoicing


    For Austria, you need software that:

  • Creates compliant invoices
  • Tracks income and expenses
  • Makes tax time easier
  • Ideally integrates with your bank

  • Many of my Salzburg clients use Austrian-specific solutions that understand our tax system. This makes life much easier than trying to adapt international software.

  • Many self-employed professionals start without CRM software and add it later as their client base grows.

  • You manage multiple projects simultaneously
  • You work with teams or contractors
  • Clients need visibility into progress
  • Projects have many moving parts

  • You probably don't need it if:
  • You work alone on straightforward tasks
  • A simple to-do list handles everything
  • Your clients don't need detailed progress updates

  • Appointment Scheduling


    You might need this if:
  • You spend lots of time coordinating meetings
  • Clients need to book time with you
  • You have regular consultation calls

  • You probably don't need it if:

  • Email coordination works fine for you
  • Most of your work doesn't require scheduling

    You might need this if:
  • You communicate regularly with a subscriber list
  • You want to automate welcome sequences
  • You track engagement and conversions

  • You probably don't need it if:
  • You're just starting out
  • You don't have a clear email strategy yet
  • You contact clients individually via email

  • The Wrong Way to Choose Tools


    ❌ "Everyone Uses This, So I Should Too"


    What works for a 50-person company might be overkill for you. Choose based on your actual needs, not industry hype.


    ❌ "It Has So Many Features!"


    More features often mean more complexity. You'll spend time learning features you'll never use.


    ❌ "It's Free!"


    Free tools are great - if they do what you need. But if they create extra work or don't quite fit, they cost you time.


    ❌ "I'll Figure It Out Later"


    Starting with the wrong tools means migrating data later. It's worth investing time to choose well from the start.


    The Right Way to Choose Tools


    Start with Your Actual Workflow


    Ask yourself:
  • What tasks take up most of my time?
  • Where do I lose track of things?
  • What causes stress in my daily work?
  • What would make client communication smoother?

  • Choose tools that solve these specific problems.


    Keep It Simple Initially


    You can always add more tools later. It's much harder to simplify once you're deep in complex systems.


    A good rule: Start with 3-5 essential tools. Only add more when you have a clear need.


    Choose Tools That Work Together


    The more your tools integrate:

  • The less you enter data multiple times
  • The easier it is to see the big picture
  • The less things can fall through the cracks

  • For example: If your calendar, email, and task list all sync, you're less likely to miss something important.


    Consider the Austrian Market


    Some tools are built for the US market and don't quite fit our requirements here:

  • Tax and invoicing rules are different
  • GDPR compliance varies
  • Language and support might be an issue
  • Payment methods may not match what clients expect

  • Where possible, tools made for or adapted to the Austrian/German/EU market work better.

    Typical needs:

    Everything above, plus:

  • Payment processing
  • Order management
  • Email marketing

  • This gets more complex - definitely worth discussing your specific needs.


    Warning Signs When Choosing Software


    Watch for:
  • No clear pricing (if they won't tell you, it's probably expensive)
  • Requires long-term contracts (test with monthly billing first)
  • No customer support in German
  • Data stored outside EU without GDPR compliance
  • Overly complicated setup process
  • No way to export your data if you want to leave

  • Test Before You Commit


    Most business software offers free trials. The key is testing with your actual workflow, not just exploring features.


    Many people sign up for trials but don't use the software for real work, so they can't judge if it truly fits their needs. Others commit to annual plans without proper testing and get stuck with tools that don't work for them.
